ABOUT THE POSITION
Manager – Event & Destination Services (EDS): is responsible for designing, planning and producing Client events for Agenda: USA. This full-time position ensures each Client program is operated in an efficient and effective manner, with a high focus on delivering a creative and unique guest experience.
 

Responsibilities:

  • Oversee and manage the planning and execution of each unique Client program, including onsite coordination if/when required

  • Assist with fielding initial Client inquiries, in addition to designing and presenting creative event proposals to potential Clients

  • Create timelines, workflows, schedules and reports, both internally and Client-facing

  • Effectively communicate information verbally and through written correspondence with the Client, hotel/venue contacts, vendors, and internal stakeholders

  • Proactively supports team objectives and identifies opportunities to contribute without being prompted

  • Understand and manage project timelines to ensure Client and internal work remains on-time and on-budget

  • Research, contact and follow-up with vendors, suppliers, and media outlets

  • Keep up-to-date relationships with vendor suppliers and knowledge of new product offerings

  • Be able to review and understand all aspects of an event-footprint, sitemap, vendor needs, Client needs and schedule/coordinate transportation, event security, activations, power, sound and lighting, etc.

  • Maintain a thorough understanding of general event procedures and the overall operating style and service standards of the company

  • Apply strong financial acumen to manage event budgets, negotiate vendor contracts and analyze P&L statements

  • Contract all vendors for events and track all payment timelines, working with EDS and accounting teams to properly process invoices and receivables

  • Supervise venue, vendors and onsite event staff to ensure proper setup/breakdown and execution of the event with a high level of guest satisfaction

  • Attend site visits and pre-planning meetings and represent company as assigned at industry functions and networking events

  • Direct and assist with administrative tasks

 Qualifications:

  • Minimum two years of experience in event design, planning, and production required

  • Ability to generate creative ideas and themes for Client consideration

  • Working knowledge of Microsoft Office and Excel

  • Excellent written and verbal communication skills, with strong attention to detail

  • Strong time management and project management skills

  • Ability to work flexible hours as needed for events
